Setting Up and Managing Classes in Pike13

Classes are a versatile and popular service type in Pike13, perfect for group-based activities that occur at regular intervals. This guide will walk you through the process of setting up a class, scheduling class times, and managing enrollments to ensure your classes run smoothly.

Setting Up a New Class

  1. Create a New Class Service

    • Go to Settings: Navigate to the Settings menu in Pike13.
    • Select Services: Click on the Services option.
    • Add a New Service: Click on the + New Service button, then choose + New Class Service.
    • Enter Class Details: Fill out the following information:
      • Class Name: Enter a descriptive name for the class.
      • Class Length: Specify the duration of each class session.
      • Price: Set the price for a single visit.
      • Taxes: Apply any applicable taxes.
      • Revenue Category: Assign the class to a revenue category.
      • Who Can Buy: Define who can purchase a single visit.
      • Plans and Passes: Select which plans or passes can be used for this class.
      • Service Category: Choose a category for the class.
    • Click Finish: Save the new class service.
  2. Configure Class Settings

    • Details Tab: Adjust initial settings, such as class capacity and pricing.
    • Registration: Set up online registration options:
      • Online Enrollment: Specify who can enroll online.
      • Registration Deadline: Set deadlines for online registration.
      • Advance Registration: Restrict how far in advance clients can register.
      • Enrollment Requirements: Define any requirements for booking online.
      • Confirmation Email: Add any special instructions for the confirmation email.
      • Reminder Email: Set how many hours before the class starts the reminder email should be sent.
      • Single Visit Pass Expiry: Enable notifications for expiring passes.
    • Cancellation: Configure cancellation policies:
      • Cancellation Deadline: Set deadlines for online cancellations.
      • Cancellation Fees: Define fees or visit deductions for late cancellations.
      • Cancellation Policy: Edit the policy shown to clients.
      • Makeups: Enable makeups if applicable.
    • Website Settings: Adjust visibility and provide additional information:

Scheduling Class Times

  1. Add Class Times

    • Select + New Class Time: If the class meets multiple times a day, create additional class times.
    • Enter Schedule Details:
      • Start Date and Time: Specify when the class begins.
      • Repeat Frequency: Define how often the class repeats and on which days of the week.
      • End Date: Set an end date for the class series if applicable.
    • Instructed By: Optionally, enter the name of the staff member leading the class.
    • Click Finish: Save the class schedule.
  2. Add Additional Times

    • Click + Add Another Time: To add more sessions to an existing series.
    • Enter Details: Add start and end times, repeat frequency, and staff member details.
    • Click Finish: Save the new class times.

Managing Enrollments

  1. Enroll Clients

    • Find the Class: Navigate to the Schedule and select the class.
    • Click Enroll Clients: Choose the clients you want to enroll.
    • New Clients: If the client is new, enter their profile information and click Create.
    • Confirm Enrollment: Choose whether to notify clients and click Finish.
  2. Bulk Enrollment

    • Enable Bulk Enrollment: If not already enabled, email help@pike13.com to activate this feature.
    • Bulk Enroll Clients: From the class page, select Enroll Clients, choose clients, and click Finish.
    • Set Enrollment Duration: Decide if clients should be enrolled for a set period or all instances of the class.
  3. Manage Waitlists

    • Enable Waitlists: Go to Settings > Services, select the class, and enable the waitlist feature.
    • Add Clients to Waitlist: If a class is full, add clients to the waitlist.
    • Enroll from Waitlist: Manually or automatically enroll clients from the waitlist as space becomes available.
    • Remove Clients from Waitlist: Select clients to remove if needed.

Modifying and Canceling Class Services

  1. Modify Class Service

    • Adjust Settings: Go to the Details tab to change the name, capacity, and price.
    • Update Registration: Change registration deadlines and requirements.
    • Edit Cancellation Policies: Adjust cancellation deadlines and fees.
    • Update Website Settings: Modify visibility and service descriptions.
  2. Cancel Class Service

    • Find the Class: Go to Settings > Services and select the class to cancel.
    • Cancel Scheduled Classes: Remove all future instances or select specific times.
    • Delete Service: Once all classes are canceled, click Delete.
