How do I allow clients to reserve space/equipment?

If your business offers equipment or space that clients need to reserve, you can easily manage these bookings through Pike13 by treating these resources as "staff members" and configuring them with an appointment service and availability. Below is a step-by-step guide on how to set up equipment or space as bookable resources.

1. Create the Equipment or Space as a "Staff Member"

In Pike13, resources such as equipment (e.g., a yoga mat, a photography studio, or a gym machine) or spaces (e.g., a private room, studio area, or court) are treated as staff members. This enables you to associate the resource with a service that clients can book.

  • Step 1: Add a New Staff Member
    To add the resource, navigate to your Pike13 dashboard and create a new staff member by filling in the required fields: first name, last name, and email address.

    • First Name/Last Name: Use a name that clearly identifies the resource (e.g., "Studio A" or "Treadmill 1").
    • Email Address: Pike13 requires each staff member to have a unique email address. If you do not have a dedicated email for this purpose, you can create one using a Gmail account. With Gmail, you can add a "+" sign followed by any label to your existing email address, and Gmail will still recognize it as your original address. For example, if your email is username@gmail.com, you could use username+studioA@gmail.com or username+treadmill1@gmail.com.

Tip: While it might seem unusual to use an email for a piece of equipment or space, it’s simply how Pike13 organizes resources in its system. You won’t need to monitor these email addresses for communication purposes.


2. Create a Service & Add Availability for the Resource

Once the resource (staff member) is created, the next step is to allow clients to book it by setting up a service and defining its availability.

  • Step 1: Create an Appointment Service
    Go to the "Services" section of your Pike13 dashboard and create a new appointment service. This appointment will represent the time your clients can book the equipment or space.

    • Service Name: Name the service clearly, so clients know exactly what they are booking. For example, "Studio Rental" or "Treadmill Reservation."
    • Duration & Price: Set the service duration (e.g., 30 minutes, 1 hour) and price (if applicable).
  • Step 2: Assign Availability for the Resource
    After creating the service, you need to assign availability to the equipment or space (the "staff member"). This tells the system when the resource is available for booking.

    • Go to the newly created staff member's profile and set their available hours, which represent the times when clients can book the resource. For example, if "Studio A" is available for rent from 9 AM to 5 PM on weekdays, enter this availability into the system.
