How Do I Set Up a Recurring Annual Membership Fee?

How to automate annual membership fee collection using a yearly recurring plan

If your business charges an annual membership fee, you can automate this collection so you don't have to manually charge every client once a year.

The strategy is to create a Recurring Plan that runs on a yearly cycle but does not pay for any services.

Step 1: Create The Annual Fee Plan

  1. Go to Settings > Plans.

  2. Click + New Plan.

  3. Select Recurring Plan.

  4. Plan Name: Name it clearly (e.g., "Annual Membership Fee" or "Yearly Maintenance Dues").

  5. Billing Cycle: Set the frequency to Every 1 Year.

  6. Price: Enter the fee amount.

  7. Membership Status:

    • If this fee is what defines a member (e.g., a social club), set "Are clients who buy this considered members?" to Yes.

    • If this is just an extra fee for existing clients (e.g., a gym maintenance fee), you can leave this as No.

  8. Click Next (or Save).

  9. Click Finish.

Crucial Step: Applicable Services When prompted to select which services this plan pays for:

  • Select NOTHING. Do not check any boxes for classes or appointments.

  • Reason: This ensures the plan simply charges the client money without giving them "punches" or credits to attend classes.


Step 2: Selling The Fee

Once created, you sell this fee to your clients just like any other membership.

  1. Go to the Client's Profile.

  2. Click New Purchase.

  3. Select the Annual Membership Fee plan.

  4. Complete the transaction.
