Setting Up Open Gym or Drop-In Arrivals

If your clients can use your facility's equipment without enrolling in a specific class (i.e., Drop-In), you should set up an "Open Gym" class. Clients can then enroll in this class via the Client Kiosk upon arrival.

Create the "Open Gym" Class

  1. Go to Settings 
  2. Choose Services
  3. Click + New Service, then select Class.
  4. Name the class Open Gym.
  5. Set the class visibility and access as appropriate (e.g., clients can enroll, staff only, etc.).
  6. Customize pricing, duration, and staff assignments if needed.
  7. Click Save.

Schedule the Open Gym Class

There are two main ways to schedule this, depending on how specific you need your attendance data to be.

Option A: Schedule One All-Day Class (Recommended for Simplicity)

  • Pros: This is the simplest check-in option for clients; they just tap "Check In" once via the Client Kiosk.
  • Cons: You won't know exactly what time clients arrived. The system only logs that they attended the "All Day" session.
  1. Select Settings then choose Services.
  2. Select your Open Gym Service
  3. Choose +New Class Time then set the class session to run for the entire duration your facility is open (e.g., from 6:00 AM to 10:00 PM).
  4. Click Finish.
Option B: Schedule Multiple Hourly Sessions 
  • Pros: Allows you to track client arrival times more accurately based on which slot they choose.
  • Cons: Creates many class instances on your calendar and requires the client/staff to select the correct time slot during check-in. 
  1. Select Settings then choose Services.
  2. Select your Open Gym Service
  3. Choose +New Class Time then set up a recurring class session that runs for a specific 
  4. Click Finish and continue setting up each recurring class time.

Checking and Checkout

Pike13 only supports check-ins, not check-outs. If you need to know when clients leave, you’ll need to set up a separate sign-out process.
