Sign up for Emma

To begin the integration, you must first have an active Emma subscription, which is maintained  separately from your Pike13 account. This feature is available to businesses on the Pike13 Advanced or Premium plans.

Once you have an Emma account, you can use it to design stylish newsletters, share holiday schedules, and send targeted promotions to specific client segments. This guide will walk you through connecting your accounts and setting up powerful automation features like autoresponders.

Connect Emma to Pike13

  1. Go to emma.com, and  login to your emma account.
  2. Still in Emma, set up your contact fields and add your list(s) of clients.
  3. Click your profile name in top right, choose Profile, click API key, and then click Generate key to receive a public API key, private API key, and account ID.
  4. At the top of any Pike13 page, click Settings, click Apps & Addons
  5. In the right menu under Email Marketing, click Emma.
  6. On the Email Marketing page, enter the Emma Account ID, Public API key, and Private API key, and then click Save.

Sync Pike13 Data to Emma

Once the integration is active, all active client information—including attendance history and custom client fields—is automatically pushed to a group in Emma named "Pike13." While hidden clients are excluded from this sync, your active members' data is mapped to corresponding fields in Emma, allowing you to create targeted segments or trigger automated email sequences.

NOTE

We recommend syncing only relevant data. While most client fields are useful for marketing, others (like "Emergency Contact Name") are typically unnecessary for email segmentation and can be left out.

Email groups of clients

When you want to send emails to subsets of your client list based on criteria you set, use Emma's segment feature. You can segment your list based on the different member fields, like custom client fields and attendance in specific classes and appointments.

Example 1: Tell everyone we’re opening a new location

Send an email to all of the clients on your list to tell them that you’re opening a third location.

  1. In Emma, click Campaigns, create the mailing with the template you choose, add text, preview it, and then click Review & Send.
  2. Don’t segment it if you want to send it to EVERYONE on your email list, whether or not they’re current clients. So when you choose recipients, click Add all groups.
  3. From here, follow the steps for scheduling your mailing. 

Example 2: Tell members about new classes

Let members know that you’re adding two additional Saturday classes by sending an email only to current members.

  1. In Emma, click Audience, the Segments tab, and then Create a new segment. In the segment window under Find people, choose Member information, and then click Add. From the dropdown list, choose Member?, set the condition to Member? equals 1, and then click Done.
  2. Click Campaigns, create the mailing with the template you choose, add text, preview it, and then click Review & Send.
  3. Choose the search you created in step 1. Under Choose recipients, click Add groups or searches button, and then click the Members segment you created.
  4. Schedule when you want to send the mailing.

Segment Your Audience

By syncing your Pike13 data, you can create segments in Emma to target specific groups based on their membership status or custom attributes.

Common Segmentation Examples:

  • Win-Back Campaigns: Target former clients by creating a segment where Member? equals 0.

  • Tiered Programming: Reach specific athletes by combining conditions, such as Member? equals 1 AND Class Level equals Level 3.

  • Rank-Specific Updates: Filter your list by specific custom fields, such as Belt Rank is Purple.

  • Milestone Follow-ups: Target clients based on specific dates, like those whose First Visit occurred on a specific day.

Pro Tip: For these segments to work, ensure the field names in Pike13 exactly match the field names you have created in Emma.


Drive Engagement with Automations

Automations (formerly Autoresponders) allow you to send timely, relevant emails triggered by specific client actions. You can customize the design and timing—sending messages immediately or days, weeks, or months after a trigger.

Example 1: Drip Campaigns for Courses

If you run a multi-week course, you can send supplemental information in installments based on a client's First Visit date:

  • Week 1 (Nutrition): Schedule for 1 day after the first visit.

  • Week 2 (Sleep): Schedule for 8 days after the first visit.

  • Week 3 (Recovery): Schedule for 15 days after the first visit.

  • Week 4 (Mobility): Schedule for 22 days after the first visit.

Example 2: Click-Through Follow-ups

If a client clicks a specific link in your newsletter (e.g., a link to a guest speaker for an upcoming workshop), they are showing high intent. You can trigger an automatic follow-up to encourage enrollment:

  1. Create your follow-up email and select Review & Send.

  2. Choose Automation (or Autoresponder) as the mailing type.

  3. Set the trigger to "Clicks a link in one of my mailings."

  4. Select the specific newsletter and link you want to track.

  5. Schedule the timing: (e.g., 2 days after the click) to keep your business top-of-mind.

  6. Activate the automation to begin tracking and sending.
