Creating Prepaid Passes

Offer Flexibility and Convenience

Prepaid passes are a powerful tool to increase client commitment and generate upfront revenue for your business. By allowing clients to pay for a designated number of visits in advance, you offer them the flexibility they need while ensuring your business has a steady cash flow. Whether it’s for classes, appointments, or other services, prepaid passes make it easier for clients to engage with your offerings.

Benefits of Prepaid Passes

  • Upfront Revenue: Clients pay in advance for a set number of visits, giving you immediate cash flow.
  • Flexibility for Clients: Clients can use their prepaid passes at their own pace, which adds value and convenience to their experience.
  • Commitment without Long-term Contracts: Prepaid passes provide a middle ground between one-off purchases and long-term memberships, ideal for clients who aren’t ready to commit to recurring payments but want to stay engaged.
  • Enhanced Client Retention: Offering passes encourages repeat visits, helping clients build a habit of using your services.

How to Create a Prepaid Pass

Setting up a Prepaid Pass in Pike13 is simple and customizable. Here’s how you can create one that suits your business needs:

Navigate to Pass Settings

  • Go to Settings and select Passes on the right side.
  • Choose + New Pass, then under Prepaid Passes, click + New Pass.
  • Enter Basic Info
    • Name your pass something appealing to catch clients' attention (e.g., "10-Class Pack" or "5-Visit Pass").

    • Add a Short Description that will appear on your Pike13 site. This should clearly highlight the value of the pass (e.g., "Enjoy 10 visits to any of our yoga classes for just $100!").

    • Provide a Full Description to explain all details about the pass, such as expiration dates or services it covers.

    • Add Terms and Conditions if necessary, and choose whether clients need to accept them by checkbox or signature.

Pro Tip: Adding clear descriptions and terms helps build trust with clients, making it easier for them to purchase!

Set Pricing & Validity

  • On the Pricing tab, enter:
    • The Price of the pass.
    • The Number of Visits included.
    • The duration (number of weeks or months) the pass is valid after purchase.
    • Whether any Sales Taxes should be added at checkout.
    • Select a Revenue Category to track sales.

Pro Tip: Offering a pass with a clear expiration date can encourage clients to use their visits within a set timeframe, improving engagement.

Set Restrictions

  • On the Restrictions tab, define:
    • Who can buy the pass online (options: Clients, Members, or Staff only).

    • Whether clients who purchase the pass are considered Members.

Pro Tip: Marking clients as "members" with pass ownership can unlock perks and encourage future purchases!

Assign Services

  • On the next page, choose the services that the prepaid pass will cover. Whether it’s for classes, personal training sessions, or specific appointments, make sure clients can easily use their passes for the services that matter most.
