Cancellation Policy for Appointments or Classes

Maximize Your Time with Pike13’s Flexible Cancellation Policy

Running a business means dealing with cancellations—it’s part of the game. But with Pike13, you can turn those cancellations into a seamless, stress-free experience for both your staff and clients. Whether it’s a sudden change in plans or a no-show, our cancellation policies help you stay in control while keeping your schedule in check.

Why Pike13’s Cancellation Policies Work for You

With Pike13, clients can cancel appointments or classes anytime, but your business sets the rules for how and when that happens. Want to offer some leeway? No problem. Prefer to enforce a cancellation window with a penalty? We’ve got you covered.

When a client cancels late, you can decide whether they’ll be charged a fee, lose a visit, or both. It’s all about putting YOU in control. With a cancellation policy tailored to your needs, you’ll not only protect your revenue but also provide a clear structure that your clients can count on.

How to Set Up Your Cancellation Policy

Setting up your custom cancellation policy is quick and easy:

  1. Navigate to Settings
At the top of any page, click "Settings."

  2. Select Services
Choose the service you want to update.

  3. Cancellation Tab
Click on the Cancellation tab to set your preferences.

  4. Set a Cancellation Window
Decide how many hours before the session a client can cancel without penalty.

  5. Choose Your Cancellation Penalties
Whether it’s a no-show or a late cancel, you decide if a fee is charged, a visit is deducted, or both. It’s all about what works for YOUR business.

How It Works in Real-Time

When a client cancels within your cancellation window, they’re automatically removed from the class roster or their appointment is wiped from the schedule. Simple, right? But if they cancel after the window, Pike13 flags them as a “Late Cancel,” and they’ll either lose a visit, be charged a fee, or both—depending on how you’ve set things up.

Flexibility Meets Control: Customizing Your Policy

With Pike13, you can choose exactly how to handle cancellations. Here are some popular options:

  • Charge a Fee Only
Automatically charge a set fee for late cancels, but keep their visit intact.

  • Deduct a Visit Only
Let Pike13 automatically deduct a visit from their active pass or plan, no fee necessary.

  • Charge a Fee and Deduct a Visit
You have the power to do both: deduct a visit and charge a fee when a client no-shows or cancels late.

  • No Penalty for Canceling
Need to be flexible? You can remove appointments or class enrollments without charging fees or deducting visits.

Pro Tip: Allow Make-ups Without Fees
If you’d like to offer clients a make-up for late cancels or no-shows, you can! Simply set the policy to deduct a visit without charging a fee. This way, clients can reschedule and you maintain a great relationship without sacrificing income.

Important Reminder
If your cancellation fee is set to $0 and a visit cannot be deducted, there’s no penalty for canceling, and clients will always be removed from the class roster or schedule with no record of a late cancel.

With Pike13, you’re not just setting a cancellation policy—you’re creating a balance between keeping your clients happy and protecting your business. Whether it’s keeping your schedule running smoothly or ensuring you're compensated for last-minute changes, Pike13 puts the power in your hands.
