Canceling or Ending Client Passes

As a staff member, you have the flexibility to manage prepaid passes when clients need to adjust their usage. You can defer a pass’s end date to give clients more time to use their visits or cancel a pass altogether. Pass cancellations can be immediate or scheduled for a future date.

Deferring the End Date of a Prepaid Pass

If a client’s prepaid pass is nearing expiration but they still have unused visits, you can extend the end date:

  1. Go to Clients: At the top of any Pike13 page, click on Clients, and search for the specific client.
  2. Access the Client's Dashboard: In the client’s dashboard, under Plans & Passes, select the current prepaid pass.
  3. Set New End Date: On the pass details page, click Set End Date, and choose a new end date to give the client more time to redeem their visits.

Canceling a Pass Immediately

When a pass needs to be canceled immediately, the process is straightforward, but note that immediate cancellations cannot be undone.

  1. Go to Clients: At the top of any Pike13 page, click on Clients, and search for the specific client.
  2. Access the Client's Dashboard: In the client’s dashboard, under Plans & Passes, select the current pass you wish to cancel.
  3. Cancel the Pass: On the pass details page, click Cancel. Confirm the cancellation to immediately terminate the pass.

Setting a Future End Date for a Pass

Sometimes you may need to schedule a pass cancellation for a future date. Here’s how you can do that:

  1. Go to Clients: At the top of any Pike13 page, click on Clients, and search for the specific client.
  2. Access the Client's Dashboard: In the client’s dashboard, under Plans & Passes, select the pass that you want to set a future end date for.
  3. Schedule Cancellation: On the pass details page, click Set End Date. On the Schedule Cancellation page, select the pass’s last day of use and confirm. The pass will automatically cancel after the specified date.
